Monthly Report

Convene Monthly Meetings with JMB, MC, or RA to discuss matters relating to the management of the property, company accounts, and activities. The Property Manager will provide an overview for the Committee each month. This report will outline the services and work done on the site:

The Management report will include:

Administrative & Property Management Services

  • Maintain an up-to-date list of all residents
  • Provide bonding of all residents
  • Prepare collection reports
  • Prepare monthly invoice submissions
  • Update debtors’ aging and enforce collection actions (e.g., reminders, blocking access cards)
  • Issue renovation permits, including collection of deposits
  • Maintain a renovation permit summary
  • Issue necessary forms to residents/purchasers for facility bookings, moving-in/out, resident cards, etc., and maintain proper records
  • Maintain and organize filing, documents, and records within the management office
  • Receive and record service requests from residents
  • Coordinate with contractors on M&E items
  • Coordinate and update on common area defect works, including issuing correspondence and reminders to the relevant party or contractor
 
  • Coordinate material requisition, repairs, upgrades, operators, or service appointments with contractors or suppliers
  • Prepare incident reports if necessary
  • Solely responsible for correspondence or circulars issued from the management office
  • Coordinate with site staff on overall daily site operations, including administration and operation
  • Attend and conduct site meetings with service providers and clients
  • Check and monitor service providers to ensure compliance with SOPs or work schedules
  • Ensure all site staff comply with their scope of work and deliver on time
  • Check and initial all documentation before distribution from the management office
  • Overall in charge on site, reporting to the Operation Manager.

Response to Problems

Management Group will be available “on call” for emergencies 24 hrs/day and 7 days/week, including public holidays. The Property Manager will be available for additional site visits (other than the routine weekly visits) during emergency situations. The Manager will work at all times to nurture a good relationship between the RA’s, residents, contractors, vendors, etc.

Operating Analysis and Management

Management Company provides you with financial planning and analysis. Projection of cash flow & expenditures are done to optimize the condition of your property throughout the maintenance cycle. Clients can benefit from thorough analysis of the operating, financing and life cycle re-capitalization needs of a property.

Financial Statement

We will assist you in managing the financial affairs of your property by providing monthly financial statements. These statements will show your current month’s income and expenses compared to your annual budget. This information will allow you to monitor expenditures to ensure that your budget plan is followed. It will also provide  you with warning signals if certain expenses are being incurred faster than anticipated and have a potential of exceeding what was budgeted.

Maintenance Services

We will ensure that the Mechanical & Electrical (M&E) systems are regularly serviced at predetermined times as well as regular inspections of all electrical systems by the Supervising Engineers or other professionals appointed to the task. We will also supervise the day-to-day maintenance and cleaning of the building, including cleaning of public areas, foyers, and parking areas. All M&E complaints will be attended to immediately and rectified within 24 hours of the complaint, where able. We will also keep an eye on potential trouble spots with respect to security problems and vandalism in common areas.
